The short version
VerbaPilot AI is designed so your meeting content stays on your computer. We collect what we need to run your account, payments and the free trial, and we never sell your data.
What stays on your computer
- Your notes, screenshots, recordings and reference documents.
- Text read from screenshots and documents (this happens on your computer).
- Your AI provider API key, encrypted with your operating system’s secure storage. It is never sent to us.
When you use your own key, your AI requests go directly from your computer to the provider you chose (for example OpenAI or Anthropic), under their privacy policy.
What we collect
- Account details: your email address, name (if given), and a scrambled (hashed) password.
- Device details: a one-way fingerprint of your computer’s ID (we cannot read the original ID), the computer’s name and operating system, app version, and when it was last seen.
- Payments: plan, amount, date, M-Pesa receipt number and the phone number used, or your PayPal transaction and subscription IDs. We never see your M-Pesa PIN or card number.
- Trial usage: how many AI requests you made, their size and estimated cost, and how much trial time you used.
- Basic security logs: IP addresses and request times, kept for a short time to prevent abuse.
Trial requests
During the free trial your AI requests pass through our server to our AI provider so we can measure and limit usage. We do not store the content of these requests or the answers; we record only counts and sizes. Our AI provider processes them under its own terms.
Who we share data with
- Safaricom (M-Pesa) and PayPal, to process payments.
- Our AI provider, for trial requests only.
- Our hosting and email providers, to run the service and send account emails.
- Authorities, when the law requires it.
Cookies
We use one essential cookie to keep you signed in. We do not use advertising cookies. YouTube videos only load (and only set YouTube cookies) when you press play.
How long we keep data
Account and device data are kept while your account is open. Payment records are kept for as long as tax law requires. Trial usage records are kept for up to 12 months.
Your rights
Under the Kenya Data Protection Act, 2019 you can ask to access, correct or delete your personal data, or object to how we use it. Email us and we will reply within 30 days. You can also complain to the Office of the Data Protection Commissioner.
